Organization Editor

With Organizations you map departments of the organizational structure, as well as customers, suppliers or partners. The specific characteristics are defined in the respective additional objects.

In the organization editor, you can see all the master data of the organization.

Create an organization

You create organizations in the Organization Editor. The Organization Editor, like each editor, is divided into several index cards and sections to form thematic focal points. In addition to recording the general basic information that can be found on the General Map, other information such as characteristics, additional information, billing data and associated persons can be managed. The Audits and Status cards are used for the traceability of processes.

General

On this map you can see the most important information at a glance.

  • In the Name field, enter the name of the organization. It is used for quick identification in all lists and selection boxes. It does not necessarily have to be the company name or the exact name of the department, but can also be a common abbreviation.

  • Depending on the characteristics, the business partner number is customer or supplier as customer no. or supplier no. used. If the data is transferred from another system, the number of the organizational unit from the external system can be used here. In the lookups of the editors, the organizational unit can be found by this number.

  • In the Parent Organization field, you can specify the parent organization for internal departments. You use it to create the organizational structure.

Tip

It's easier to create your organizational structure in the System Configuration. You can see the structure of your organization in a clear tree structure.

  • Enter the Responsible Department here to set the access permission for this organization. Organizations use the master data filter.
Tip

Master Data Filter: You can see the master data of the department to which you are logged in and all those that are on the direct path to the top.

  • In the Name & Identification section, enter the exact wording of the company or department.

  • In the Address section, enter the address of the organization. In addition, you can geo-code the address in the Coordinates field so that the address can be used for route planning and display on maps.

  • Under Contact Information, you'll collect phone numbers, email, and the website.

  • In the Tax Identification section, enter the EORI number and the personal tax number.

Characteristics

On this map, you enter characteristics of the organization. The shape determines the role that this organization has in your company. The following variants are available:

  • Department: for internal departments of your company (organizational structure) -Customer -Supplier
  • Depot: Addition to the internal department to mark the branch as a depot.
Note

An organization can have several manifestations at the same time.

To enable an imprint for an organization, click the action enable to the right of the characterization. To disable the expression again, click on the action disable.

Additional information

In the Additional Information tab, you can specify the following settings:

  • General instructions and for collection and delivery
  • Default values for shipping shipments, especially the shipping method, carrier, service and relation
  • Organization identification numbers: SPX number, IATA code, UN location code
opening hours

Define the possible delivery windows for this organization at:

-Opening hours

  • Pick-up times
  • Delivery times
bank accounts

Enter the organization's bank details (IBAN, BIC, account holder, etc.)

third-party system references

In order to be able to identify the organizations in interfaces from and to other systems, store the reference ID that this organization has in the respective third-party system here.

Billing

In the Allocation tab card, you enter the information for Cost Accounting and Accounts Receivable Settlement. In accounts receivable settlement, you define the type and timing of the activity allocation, as well as the document template, invoice text, payment term, and discounts.

Status

You can manage status information related to the item on the Status tab. You can see all the changes made to the organization here.
